Create Face-to-face

To create a face-to-face session

If the face-to-face session isn't a further requirement of an existing course, start by creating its own course space. Instructions for creating a course are here.

To create one or more face-to-face sessions start by creating an 'activity' within a course.

Create an activity

   1.  Navigate to the course.




   2.  From the course homepage turn editing on.



   3.  Select Face-to-face in the Add an activity drop down menu.

   4.  Complete the fields.

Fields
Use these fields to...
General Name and describe the activity
Calendar options Display the activity on a calendar
Request message Create the email invitation text for the activity and choose who will be sent this information
Confirmation message Create the email confirmation text and choose who will be sent this information
Wait list message Create wait list text
Cancellation message Create cancellation text and choose who will be sent this information
Common module settings

Group mode unsupported

Restrict access Set up the rules for when an activity can be accessed
Activity completion set up the rules for completion of the activity

   5.  Select Save and display to add the activity to your course.

 

Add sessions


Once you have added the Face-to-face 'activity' to a course, add sessions to it by following the steps below;

 

  1. Select ADD a new session
  2. Complete the fields

    Field
    Description
    Location, venue and room This information is displayed on the course page, 'Sign-up page', the 'View all sessions' page and in all email notifications.
    Session date/time known

    If "Yes" is entered for this setting, the session date and time will be displayed on the course page (if the session is upcoming and available), the "View all sessions page", the session sign-up page, as well as all email notifications related to the session.

    If "No" is entered for this setting, the text "wait-listed" will be displayed on the course page, the "View all sessions page", the session sign-up page, as well as all email notifications related to the session

    Start/finish time

    Enter session details

    Add a new date Used if there are multiple sessions. Click this button to add new dates.
    Capacity

    Capacity is the number of seats available in a session.

    When a face-to-face session reaches capacity the session details do not appear on the course page. The details will appear greyed out on the 'View all sessions' page and the learner cannot enrol on the session.

    Allow overbooking When "Allow overbooking" is checked, learners will be able to sign up for a face-to-face session even if it is already full.
    Duration

    Duration is the total length of the training in hours.

    For example:

    • "2 hours" is enters as 2 or 2:00
    • "1 hour and 30 minutes" is entered as 1:30
    • "45 minutes" is entered as 0:45
    • "20 minutes" is entered as 0:20.

    If the training occurs over two or more time periods, the duration is the combined total.

    Cost

    Normal cost is the dollar amount charged to staff members who do not have a membership id.

    Discount cost is the dollar amount charged to staff members who have a membership id.

    Details

    Details are tracked per session basis.

    If text is populated in the details field, the details text will be displayed on the user signup page.

    By default, the details text also appears in the confirmation, reminder, waitlist and cancellation email messages.

    3  .Select Save changes

 

Note: if you want to indicate and report on individual sessions they need to be set up as individual activities. If you are offering a number of identical sessions on different days set these up as sessions within one activity.
